Media Library

Your Forms and Documents is a section of your newsletter, website, or SZapp in which you’re able to link important information that is readily accessible to your community. You can also attach these documents to communication sent from the Schoolzine system, such as in a Newsflash, through the RSS Feed, or in SZapp notifications. All of these files can be easily uploaded and managed through your Media Library, found in the Control Centre.

Adding a Single File

  1. Log in to your Control Centre and select the Content menu tab.
  2. Once expanded, select Media Library and click the + New File button.
  3. Fill in the Name.
    Note: If you would like parents to see a different name for your file, fill in the Title field.
  4. Apply the newsletter tag if you would like to display the file in the Forms and Documents section and SZapp tile if applicable.
    Note: If you have had custom tags set up, you will need to apply the relevant tag instead.
  5. Choose the file that you want to upload.
    Note: Any special characters in your file name such as $#& will be removed from the file URL (web address) on upload.
  6. Once you have saved the media file, if you have applied the newsletter tag, you will be able to view it on your newsletter’s side panel. If you have SZapp setup, this will also be showing on your relevant SZapp Tile such as Forms & Documents.

Adding Multiple Files

You can upload multiple files into the system all at once if you require, cutting down the time it takes to add them. Please note this feature is only available if you are using Google Chrome.

  1. Log in to your Control Centre and select the Content menu tab.
  2. Once expanded, select Media Library.
  3. Select and drag all of your files into the Quick Add box at the top of the screen.
    Note: Ensure that all files are named how you would like them to appear in your Forms and Documents before adding them into the system.
  4. Select the tick box next to the names of the files that you have just imported.
    Note: If no files are selected, the tag will target all media items.
  5. Click the Bulk Actions drop down at the top of the page and select Add/Remove Tags.
  6. Click Go and once the Bulk Actions pop up appears, select the Newsletter tag.
    Note: If you have had custom tags set up, you will need to apply the relevant tag instead.
  7. Once you have selected Add, you will be able to view your files in the Forms and Documents section.

Handy Hints

  • We recommended not uploading files larger in size than 1 MB.
  • We recommend that all files uploaded are PDFs, as they are compatible with most devices.
  • Avoid using special characters where possible for your file names.
